Total Taekwondo Photography, Video Recording & Media Policy

Effective Date: 28 July 2026

1. Purpose

Total Taekwondo is committed to providing a safe, inclusive and professional training environment for all members. This Photography, Video Recording & Media Policy has been implemented to safeguard children and adults at risk, protect the privacy of all members, and ensure compliance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This policy applies to all members, parents, guardians, spectators, visitors, coaches, volunteers and contractors attending any Total Taekwondo class, grading, seminar, competition, event or activity organised by the club.

2. Parent and Spectator Photography

To protect the privacy and safeguarding of all participants:

  • Photography, video recording, live streaming, screen recording or audio recording by parents, guardians, spectators or visitors is strictly prohibited during any Total Taekwondo activity.

  • This includes the use of mobile phones, tablets, cameras, smart watches, wearable cameras and any other device capable of capturing images, video or audio.

  • The prohibition applies at all times unless prior written authorisation has been provided by Total Taekwondo for a specific purpose.

This restriction exists because not all members have consented to the use of their image or likeness. In many cases, safeguarding considerations require that a participant's identity is not recorded or shared.

3. Official Club Photography and Video

Photography and video may be captured by authorised Total Taekwondo coaches or designated club representatives for purposes including:

  • Coaching analysis and technical feedback.

  • Promotion of Total Taekwondo.

  • Website and social media content.

  • Marketing materials.

  • Competition reports and club news.

  • Internal club records.

Before any official media is captured or published, Total Taekwondo will check its media consent records to ensure that only members with the appropriate permissions are included.

Where consent has not been provided, reasonable steps will be taken to avoid recording the individual or to remove them from any media before publication.

4. Media Consent

Media consent is obtained separately as part of the club's registration process.

Parents or guardians may withdraw or amend their consent at any time by contacting Total Taekwondo in writing. Withdrawal of consent will apply to future photography and publication wherever reasonably practicable and will not normally apply retrospectively to media that has already been lawfully published.

5. Wearable Recording Devices

For the privacy and safeguarding of all members, wearable recording devices are not permitted within the dojang.

This includes, but is not limited to:

  • Meta Smart Glasses

  • Smart glasses with recording capability

  • Body-worn cameras

  • Action cameras

  • Any wearable device capable of capturing photographs, video or audio

Members, parents and visitors wearing such devices may be asked to remove them before entering the training area. Recording functions must not be used under any circumstances during Total Taekwondo activities.

6. Social Media

Images or videos taken by Total Taekwondo remain the property of the club unless otherwise stated.

Members and parents must not reproduce, edit, download, redistribute or publish official club media in a manner that could compromise safeguarding, misrepresent Total Taekwondo or identify members who do not have media consent.

Where official media is shared publicly by Total Taekwondo, members are encouraged to share posts directly from the club's official social media channels rather than downloading and reposting the content.

7. Competitions Hosted by Third Parties

When attending competitions or events organised by external organisations, the photography policies of the event organiser may also apply.

Total Taekwondo cannot control photography undertaken by event organisers, governing bodies, accredited media or authorised competition photographers. Members attending such events should familiarise themselves with the organiser's own safeguarding and media policies.

8. Breaches of this Policy

Any person found to be taking photographs, recording video or audio, or using unauthorised recording equipment in breach of this policy may be required to:

  • Immediately cease recording.

  • Delete the images or recordings in the presence of a Total Taekwondo representative where appropriate and lawful.

  • Leave the venue or event.

  • Be refused future entry to Total Taekwondo activities.

  • Be subject to further disciplinary action where applicable.

Where safeguarding concerns arise, Total Taekwondo reserves the right to report incidents to the relevant authorities or governing bodies.

9. Policy Review

This policy will be reviewed periodically to ensure it remains consistent with current safeguarding guidance, UK data protection legislation and the operational requirements of Total Taekwondo.
